Aeon Design Studio Inc. is looking for an Operations Manager to work at our young, energetic, and design-focused practice. Our core purpose is to create thoughtful, beautiful spaces for our clients, and we want you to share that sentiment too.

Responsibilities
- Client/Project Management
- Assist Principal in developing and managing an excellent client experience from initial contact through to the end of project and beyond.
- Must be able to represent the company in a professional and friendly manner and build lasting relationships.
- Key responsibilities include preliminary client contact, preparation of fee proposals and contracts, and managing the project pipeline.
Office Operations
- Obtain quotes, manage, monitor, and track the ordering of project materials (fixtures, millwork, tile, wallpaper, etc.).
- Coordinate courier pick-ups, deliveries and returns of materials and products.
- Work with Principal to manage website and social media platforms (Pinterest, Instagram and LinkedIn)
- Schedule, prepare for, and actively participate in project photoshoots.
Administrative
- Monitor and maintain tracking systems and office processes, coordinate improvements and upkeep of information.
- Streamline client communication, interface with contractors, consultants, and extended team to keep everyone organized on projects.
- Manage relationships with vendors, understand payment terms and maintain current contact information of all vendors.
- Invoice clients regularly and proactively update the team when projects approach the limit of budgeted hours.
Technical Qualifications
- Excellent written and verbal communication skills. Not afraid to pick up the phone and solve the problem of the day.
- Excellent working knowledge of Google Workspace, CRM software, Adobe Creative Suite, Wordpress, and Canva
- Experience with Quickbooks and invoicing is considered an asset.
- Working Knowledge of Pinterest, Instagram and LinkedIn is an asset.
Education/Experience Qualifications
- Minimum 5 years prior experience in a similar role; office administrative, operations, management.
- Must have a comfortable level of skill working with small business processes.
- Highly organized multi-tasker who works well in a fast-paced environment
- Background in sales/customer-facing role is an asset.
- This role requires regular travel within the Greater Toronto Area, including Toronto and Mississauga, to visit project sites, attend photoshoots and client meetings, and to pick up and drop off materials/samples. Candidates should be comfortable commuting to various project locations as needed.
- A valid driver's license and access to reliable transportation are considered assets for this role.
